How to write a resignation letter
A resignation letter has one job: to leave a clear, professional record that you're moving on. Keep it brief and gracious — even if you're glad to go.
1. State that you're resigning and your last day
Open directly: that you are resigning from your position and the date of your final working day. Give the notice your contract requires — usually two weeks.
2. Keep the reason brief or leave it out
You're not obliged to explain why. A simple "to pursue a new opportunity" is plenty; save detailed feedback for an exit interview.
3. Express genuine thanks
Thank your employer for the experience or a specific thing you valued. This is what people remember, and it keeps the reference warm.
4. Offer to help with the transition
Say you'll help hand over your work or train a replacement during your notice period. It's professional and leaves a strong final impression.
5. Close politely and sign
End on a warm, forward-looking note, then sign off with "Sincerely," or "Best regards," and your name. Keep the whole letter short — half a page is ideal.
